Choosing cycling team management software for a pro team

A professional cycling team needs software built around its race programme, not around memberships. Club apps manage members, fees and group rides. A pro team plans the selection, travel, hotels, staff, team cars and equipment for races that overlap, often for men's, women's and development squads at once, and every rider needs to see their own programme. Judge any vendor on those jobs, with your own next block of races as the test.

Why the search results are confusing

Two kinds of software behind the same words

Search for "cycling team management software" and most results are written for cycling clubs. Those tools do a real job, but it is a different one from running a team that is registered with the UCI.

Club and membership software

Usually built around the members of a club:

  • Group rides, events and sign-ups

  • A member directory

Software for a pro team's operations

Built around the race programme and the people who travel to it:

  • A selection per race: riders, reserves and staff by role
  • Travel legs, tickets, baggage and hotels per race

  • Bikes and equipment, results, race days and expenses
  • Men's, women's and development squads in one plan
  • A personal programme for every rider on their phone

The buyers are a small group. For the 2026 season the UCI registered 18 UCI WorldTeams, 16 UCI ProTeams, 14 UCI Women's WorldTeams and 7 UCI Women's ProTeams, with the UCI Continental teams on top of that. Software for this group is a niche, so check early whether a tool really plans races or mainly manages members and events.

Use these in every demo, including ours. Ask the vendor to show the answer on screen with one of your own races rather than describe it.

Races and selections

  • 1. Is each race one place that holds the selection, travel, hotels, results, documents and tasks?
  • 2. Can you select riders and staff per race, with reserves, and does the selection update the calendars and the travel plan without retyping?
  • 3. Can men's, women's and development squads be planned in one system and still be viewed apart?

Calendars and travel

  • 4. Can you see race days per rider and days per staff member across the season?
  • 5. Can one flight or transfer serve two races when people travel straight from one race to the next?
  • 6. Is each traveller's ticket, reference and baggage recorded on the leg they travel on?

Riders and staff

  • 7. Do riders and staff see only their own races and trip on their phone, and do you decide when flights and trains become visible?
  • 8. Who can see medical information such as injuries and medical tests?
  • 9. Can the rider app carry your team's colours and logo?

Fleet, equipment and the contract

  • 10. Can you see which team car, bus or truck goes to which race, who drives it and what stays at the service course?
  • 11. Are bikes, wheels and parts tracked by serial number, with who received what and when it came back?
  • 12. Where is the data hosted, how is the software licensed, and how will your current riders, staff and races get into it?

Running the test

How to run a fair test

A demo with invented data always looks smooth. These steps show how a tool copes with your season.

  • Pick a real block from your programme with two races that overlap, and use it in every demo.
  • Bring the people who will use it: someone from team operations, a sports director and a rider.
  • Follow one change from start to finish: swap a rider in the selection and check the calendar, the travel plan and the rider's phone.
  • Plan one trip in which riders go straight from one race to the next.
  • Look at the phone view with a rider's eyes: is it clear where to be, when, and with whom?
  • Ask what the software does not do. A clear answer saves a surprise in the middle of the season.
  • Ask how the start works for your team, and who loads the first riders, staff, races and vehicles.
