The season dashboard shows where the team stands in one view: how many riders are active, how many race days are on the programme, what has been spent and which tasks are still open.
Races as events
In VelOps every race is an event that brings the work around it together, from the selection to the hotel bookings. An event is either Draft or Confirmed, and creating a race automatically creates its standard tasks, so the usual to-dos are on the list from the start.
Each event opens on the same tabs, so staff always know where to look.
Cycling team planning software
The work around a race happens inside its event: who goes, how they get there and where the team stays.
Riders are grouped by division (Men, Women, Devo) and staff by role, such as sports director, soigneur, mechanic and doctor. Each person gets a period from–to and a status: Selected or Reserved. The selection feeds the calendars, the logistics and the rider app.
How race selection worksEach transport leg records the departure and arrival place and time, plus the flight reference, driver and vehicle where they apply. Per traveller you record an e-ticket code, a ticket link and baggage. One flight can serve two races, and an ‘also on’ flag shows when someone is booked on another leg. Flights and trains appear in the rider app only once staff mark them visible.
More on race logisticsKeep one hotel list for the team and record the hotel bookings per race, with dates, booking type, stay type and payment method. In the rider app, the race hotel appears with the trip, showing its name, dates and extra info.
Planning calendars
Three calendars lay out the whole programme day by day. Together they answer the planning questions every team has: who rides what, which staff go where and which vehicles are free.
Also known as the performance calendar. It shows all races per division as time blocks with the selection progress, such as 6/7. Per rider per day you see selected (a dot), reserve (R) or travel (T), plus the number of race days per rider.
Every staff member with their role and number of days, coloured per race. Periods can be adjusted straight from the calendar.
Team cars, the bus and the truck, with driver initials, race assignments, service course and free periods. A vehicle's contract expiry is shown when it falls within a month.
The rest of team operations
The back office also covers the rest of team operations: equipment, vehicles, expenses, results, training camps, tasks, medical follow-up and emergency contacts, all linked to the same riders, staff and races.
Items with barcode, serial number, type (bikes and bike parts included) and in- and out-of-service dates. See which rider received which item and when it came back. A truck app supports material registration on the race truck.
Maintenance records for the team's vehicles: team cars, the bus and the truck.
Expenses per race or training camp, each with a status: New, In progress or Processed.
Results per rider and race day: position, time, gap, UCI points and procyclingstats points.
Training camps sit in the same planning as the races.
Each new race creates its standard tasks automatically. Change requests that riders send from the app land on the same task list.
Injuries and medical tests per rider, visible only to authorised staff.

Injuries and medical tests are recorded per rider, including when an injured rider is expected to be out and back. This information is visible only to authorised staff.
Staff, admin and performance users work with the VelOps Crew licence, which includes the full back office. Riders use the VelOps Rider licence for the rider app. Both licences are billed per user per month, and the price is on request.
